STAGING environment — demonstrator content only. Not the live NW Panthers website.

Privacy notice

This notice is a draft awaiting specialist review. It is on this test site so it can be read and corrected. Values shown as [CLUB] or [ADVISER] are deliberately unfilled — publishing them as they stand would be a false statement.

Who we are

NW Panthers Netball Club is a junior netball club in Chester, Cheshire. We are the data controller for the information described here. Registered name, correspondence address and data-protection contact: [CLUB]. Whether ICO registration is required: [ADVISER].

What this notice covers

This covers our website. It does not cover the kit shop, which Sisters n Sport run on their own site; our Facebook, X and Instagram pages, where those platforms’ own notices apply; or England Netball’s processing of affiliation data. When you follow a link away from here, whoever runs that site is responsible for it.

What we collect, and why

A joining enquiry

Your name, your email address and phone number if you give one, your child’s age group as a school-year band, anything you write in the message box, and how you would like us to reply. We use it to answer you and to route the enquiry to the right squad.

We do not ask for, and the form cannot accept: your child’s name, date of birth, home address, school, medical or dietary information, disability information, or ethnicity. A field that does not exist cannot leak. If you put any of that in the message box, we remove it once your enquiry is dealt with.

Lawful basis: [ADVISER].

A safeguarding concern

If you use the safeguarding route we record what you tell us, who you are if you tell us, and what we did about it. Lawful basis: [ADVISER].

We cannot promise to keep a safeguarding report secret. If a child may be at risk we have to pass information on, including to statutory agencies, and sometimes without your agreement. We will tell you if we do.

Visiting the website

At the time of writing we use no third-party analytics, no advertising cookies, no tracking pixels and no embedded social feeds. Links to our social accounts are ordinary links. Whether analytics is ever added: [CLUB].

Children’s data

The club exists for children, so this is said directly rather than buried.

  • Our website is written for adults. Joining enquiries are made by a parent or carer, not by a child.
  • A child may still read the site, and some pages are written for them. No part of it lets a child submit personal information, and no feature lets an adult contact a child through it.
  • We do not publish children’s names — not on squad pages, not in results, not in news.
  • We do not publish photographs of children unless we hold recorded consent for that specific use. Absence of a complaint is not consent.
  • We are careful about where children will be. Training and fixture detail is published at a granularity the club sets squad by squad; where that setting is “safe”, we publish the night but not the venue or the start time. The website enforces this itself rather than relying on an editor to remember.

Who we share information with

Our website and email hosting providers, who act on our instructions only; England Netball and our league, for affiliation and fixtures; and statutory agencies where a child may be at risk or the law requires it. Providers to be named: [CLUB].

We do not sell your information, and we never will. We do not share it for marketing.

How long we keep it

Enquiries that do not lead to joining: [ADVISER], suggested twelve months. Safeguarding records, volunteer records and server logs: [ADVISER] and [CLUB]. A retention period the club will not actually honour is worse than an honest longer one.

Your rights

You can ask us to give you a copy of what we hold about you, correct it, delete it, restrict or object to what we do with it, or transfer it elsewhere. A parent or carer can do this for a younger child; older children can usually act for themselves. Contact [CLUB] and we will respond within one month, free of charge. If we have to refuse — for example where deleting a safeguarding record would stop us meeting a legal duty — we will tell you why.

Complaints

Please tell us first so we can put it right: [CLUB]. You can also complain to the Information Commissioner’s Office at any time — helpline 0303 123 1113, or ico.org.uk/make-a-complaint.

Cookies

At the time of writing the site sets no cookies except those strictly necessary to make it work, such as keeping an administrator logged in. Strictly necessary cookies do not require consent. If a non-essential cookie is ever added, a real consent banner must appear before it is set — a banner that merely announces that cookies exist is not consent.

Changes

We update this when what we do changes. Last updated and next review: [CLUB], annually and whenever a new form, integration or analytics tool is added.
